Privacy policy
Cloud Hawk Estate Management manages estates and complexes on behalf of their body corporate or homeowners' association. This policy explains what personal information we hold and how we use it.
POPIA: how we protect personal information
We process personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA). All personal resident details are secured and kept confidential.
What we collect
- Residents, owners and trustees: name, unit, contact details, the queries you log and the messages you send us, and registrations such as pets, domestic employees and move-in or move-out forms.
- Website visitors: the details you enter in our enquiry form.
Why we use it
To run the scheme, answer you, send estate notices and meet legal duties. We do not sell your information or use it to market unrelated services.
Contractors who fix things
When you report a maintenance problem, we may send the job to the contractor appointed to fix it, such as a plumber or electrician, with a description of the problem, your unit and any photos. We give the contractor your name and phone number only if you agree. We ask when you log the request, or before the contractor is sent, and you can change your answer at any time. If you say no, we arrange access with you ourselves. Contractors may use your details only for that job.
WhatsApp and our service providers
Our WhatsApp line is answered by an automated assistant with staff behind it. Your information is stored with service providers outside South Africa (hosting, WhatsApp, Microsoft and our AI provider) who are bound to protect it. We keep it only as long as the scheme or the law requires.
Your rights
You may ask to see, correct or delete your information, object to its use, or stop WhatsApp notices by replying STOP. Contact the Information Officer at info@cloudhawk.co.za.
You may also complain to the Information Regulator: enquiries@inforegulator.org.za, 0800 017 160.
